ClickBSL is operated by Positive Signs Limited, a UK Deaf-led company committed to ensuring accessibility, inclusion, and the protection of your personal information. This Privacy Policy explains how we collect, use, and protect your data when you use the ClickBSL app or any related services. We comply with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. 

2. Who We Are 

Positive Signs Limited (Company No. [insert number]) is registered in the United Kingdom. Our registered office is located in Upminster, Essex. We act as the Data Controller for all ClickBSL user data. 

3. Information We Collect 

When you use ClickBSL, we collect only the information needed to deliver and manage your service. This may include your name, contact details, account login information, subscription type, call duration, and app usage data. We do not collect unnecessary personal details or share data with third-party marketing organisations. 

4. Video Calls and Recordings 

Video interpreting sessions may include the option to record or generate transcripts for quality, safeguarding, or accessibility purposes. Any recordings or transcripts are stored securely and automatically deleted within 24 hours of creation. We do not use these materials for training or marketing without explicit consent. 

5. Login and Authentication 

Users access the ClickBSL app through a secure login protected by two-factor authentication (2FA) and Face Recognition (biometric verification). This ensures that only authorised users can access their account and interpreting sessions. 

6. How We Use Your Data 

We use your data solely to provide the ClickBSL service, including scheduling, communication support, billing, and technical assistance. Data may also be processed to support Access to Work (AtW) funding claims, where applicable. 

7. Data Retention 

We retain personal data only for as long as necessary to fulfil the purpose it was collected for. Session data, including recordings or transcripts, are erased within 24 hours. Account and billing data are retained in accordance with UK financial record-keeping requirements (typically six years). 

8. Data Security 

We use secure UK-based servers and encrypted connections to protect your information. Access is restricted to authorised staff who require the data to deliver the service. We regularly review and update our systems to maintain compliance and safeguard privacy. 

9. Sharing Your Data 

Your data is never sold or shared with external marketing companies. It may be shared internally with our team members who manage interpreting, technical support, and billing under strict confidentiality agreements. Where legally required, data may be shared with government or regulatory bodies such as Access to Work. 

10. Your Rights 

Under UK GDPR, you have the right to access, correct, or request deletion of your personal data. You also have the right to restrict or object to how your data is used. To exercise these rights, contact us at [email protected]. 

11. Community Outreach and the Inclusion Directory

We contact organisations by telephone to raise awareness of Deaf accessibility and to invite them to join the ClickBSL Inclusion Directory. We use publicly available business contact details (such as a switchboard number or a website contact address) for these calls, on the basis of our legitimate interest in promoting Deaf access to services.

If an organisation chooses to join the Inclusion Directory, we record the organisation's name, website and main telephone number, together with the name and email address of a main contact. We record this on the basis of the consent given verbally during the call, and we keep a record of when that consent was given, by whom and to which member of our team.

We use those details to provide the Directory listing, to send the welcome information and information pack, to activate the complimentary minutes, and to contact the organisation about its membership and about Deaf accessibility. We do not sell these details or share them with external marketing companies.

Consent can be withdrawn at any time using the unsubscribe link in any email, or by contacting us using the details in section 14. Withdrawing consent to marketing does not remove an organisation's Directory listing; ask us and we will remove that too.

We keep outreach records for organisations that do not join for 2 years, so that we do not contact the same organisation repeatedly, and we keep Directory member records for as long as the organisation remains a member and for 2 years afterwards.

12. Cookies and Analytics 

ClickBSL does not use cookies within the app. Limited analytics may be used to track system performance and improve service reliability. These analytics are anonymised and cannot identify individual users. 

13. Changes to This Policy 

We may update this Privacy Policy from time to time to reflect legal, technical, or service changes. The latest version will always be available on our website and within the ClickBSL app.
