Confidentiality & Data Handling Policy

Purpose 

This policy explains how ClickBSL manages and protects client information. It ensures that all communication, data, and personal details remain secure, confidential, and compliant with UK data protection laws (including GDPR). 

Scope 

This policy applies to all customer information shared with ClickBSL, including: 


- Personal details (name, email, contact information). 
- Business-related information shared during ClickBSL calls. 
- Any documents or forms shared with ClickBSL staff.
 

Confidentiality Commitment 

- All ClickBSL calls and interactions are treated as strictly confidential. 

- Language Service Professionals (LSPs) and Deaf Technology Expert staff are bound by confidentiality agreements. 

- Information will not be disclosed to third parties without client consent, except where required by law (e.g. safeguarding concerns). 

Data Handling Standards 

- All client data is processed in line with GDPR. 

- Data is stored securely using encrypted systems. 

- Access to data is limited to authorised Positive Signs staff only. 

- LSPs do not have access to any client data after their shift has ended. 

- Recorded and transcribed calls are retained for one day only, after which they are securely deleted, unless there is a legal requirement to retain them longer. 

Client Responsibilities 

- Clients must not share their ClickBSL login details with others. 

- Clients should only use ClickBSL services for legitimate workplace communication and support. 

- Clients must report any suspected data breaches immediately to Positive Signs Ltd. 

Data Sharing & AI Use 

- ClickBSL will never share client data with third-party AI tools or external platforms without consent. 
- Where AI tools are recommended (via Deaf Tech services), clients will receive clear training on safe and compliant usage.
 

Breach of Policy 

- Any breach of confidentiality by ClickBSL staff will be investigated immediately. 
- Clients who misuse the service to share sensitive data inappropriately may have their service suspended.
 

Policy Review 

This policy will be reviewed annually or sooner if legislation, technology, or service delivery changes.
